Information we collect
When you use the discovery form, we collect the contact and firm information you choose to provide. This may include your name, work email, telephone number, firm name, website, location, preferred contact method, team size, approximate client volumes, services, current systems, operational priorities, implementation timing, availability and additional notes.
We also record basic submission information, such as the submission time and IP address, to protect the form and maintain an inquiry record. The form may use a temporary session cookie for security and submission protection. We do not add analytics, advertising pixels or marketing cookies.
How we use the information
We use the information to review and respond to your inquiry, understand your firm’s operating needs, assess potential fit, prepare for a discovery conversation, plan a possible implementation and maintain reasonable business and legal records.
Your consent covers contact about this inquiry and a potential business relationship. It is not consent to newsletters or unrelated marketing.
Do not submit confidential client information
AXSORT does not request confidential client information through the discovery form. Do not submit client files, SINs, passwords, MFA codes, security answers, banking details or other sensitive client information.
Access and safeguards
Access is limited to people who reasonably need the information to handle the inquiry or related business work. We use reasonable administrative and technical safeguards appropriate to the information and the way it is collected. No website or email system can be guaranteed to be completely secure.
Service providers and other jurisdictions
We use service providers for website hosting and email delivery. They may process or store information on our behalf in Canada or in other jurisdictions where they operate. Information in another jurisdiction may be subject to the laws and lawful access requirements of that jurisdiction.
Sharing and sale
We do not sell information submitted through the discovery form. We may share it with service providers acting for us, professional advisers where reasonably necessary, or authorities where disclosure is required or permitted by law.
Retention
We retain information only as long as reasonably necessary for the inquiry, a potential or actual business relationship, and applicable legal, accounting and business obligations. Retention may vary with the nature and outcome of the inquiry.
Your choices and requests
You may ask to access or correct your information, withdraw consent to future contact, or request deletion where applicable. Some information may need to be retained where required or permitted by law or for legitimate business records. Withdrawing consent does not affect handling that occurred before the withdrawal.
